Reports to: Director of Education Position Classification: Non-Exempt, Full-time Work Location: Onsite Position Summary The Program Operations Manager is a central operational role within Fleisher’s Education Department, ensuring the smooth daily delivery of classes, events, and student-facing services. Managing the Visitor Services team and supporting faculty, students, and models, this role coordinates the key logistical, administrative, and customer service functions that keep Fleisher’s programs running effectively. Serving as a primary point of contact for operational needs, the Program Operations Manager oversees scheduling, studio and classroom readiness, supply inventory, model coordination, front desk operations, and cross-department communication. The ideal candidate is highly organized, proactive, and mission-driven, with strong communication skills and a commitment to maintaining a welcoming, functional, and accessible environment for all members of the Fleisher community. 

Essential Duties & Responsibilities Visitor Services Management & Customer Experience  

  • Manage, train, and support the Visitor Services team; provide ongoing feedback, coaching, and task delegation as needed. 
  • Develop schedules, approve timecards, and lead regular quarterly Visitor Services meetings. 
  • Staff the front desk as needed; model excellent customer service and uphold a welcoming, professional environment. 
  • Maintain an organized and up-to-date lobby area, ensuring forms, signage, calendars, and materials are current. 
  • Ensure Visitor Services staff are informed about program updates, building procedures, policies, and events. 
  • Provide financial oversight for front desk operations, including supporting Visitor Services with daily transactions, ensuring accurate end-of-day cash pulls, and maintaining compliance with financial procedures.

  • Oversee package management, including receiving, logging, distributing, and communicating deliveries to appropriate staff. 
  • Lead and participate in department and organization-wide meetings and provide updates related to operational needs. 

Program Operations and Scheduling 

  • Coordinate daily operations to support the smooth delivery of adult and youth programs. 
  • Manage scheduling tools; ensure accurate room assignments, studio setups, and AV requirements. 
  • Lead cross-department scheduling meetings and serve as a primary point of contact for logistical questions. 
  • Support the review of course information to ensure logistical accuracy related to rooms, equipment, and models. 
  • Collaborate across departments to share program updates and improve communication workflows. 
  • Assist with CRM-related tasks, including updating room assignments  
  • Submit work orders and track resolution of studio, classroom, or facility maintenance needs. 
  • Support building safety and emergency procedures; assist with lock-up responsibilities when scheduled. 

  Figure Model and Supply Management

  • Hire, train, schedule, and supervise figure models; coordinate substitutes as needed. 
  • Collaborate with program staff and faculty to ensure modeling needs align with course requirements. 
  • Oversee supply ordering, inventory, and distribution across adult and youth programs. 
  • Monitor and track spending on classroom and program supplies, ensuring purchases stay within budget guidelines, and receipts are submitted accurately. 
  • Maintain classroom materials, event resources, and model supplies. 
  • Assist with classroom resets, signage updates, and building preparations between program terms. 

Required Qualifications 

  • 2–3 years of experience in administrative, customer service, or operations-focused roles. 
  • Strong organizational, multitasking, and problem-solving abilities. 
  • Excellent verbal and written communication skills. 
  • Proficiency with databases, spreadsheets (e.g., Excel), and scheduling tools. 
  • Ability to set up and troubleshoot basic AV equipment (projectors, computers, speakers). 
  • Demonstrated commitment to community arts, cultural programming, and Fleisher’s mission. 

Preferred Qualifications 

  •  Experience in community arts, education, or nonprofit environments. 
  • Additional language proficiency, particularly Spanish. 
  • Valid driver’s license and clean driving record preferred but not required. 

Working Conditions & Physical Requirements  

  • Schedule: This is a full-time, onsite position. Standard hours during program terms are Monday–Thursday, 11:00 a.m.–7:00 p.m., and Friday, 9:00 a.m.–5:00 p.m. Select Saturdays are required based on program and event needs. Additional flexibility is available outside of program terms, with schedules adjusted in accordance with program activity and organizational needs. 
  • Physical Requirements: Ability to lift up to 25 lbs; frequent standing, walking, bending, and handling materials. Some building areas require stair access. Lock-up procedures may involve securing heavy gates. 

Compensation & Benefits

  • Salary range: $50,000 -$60,000, Commensurate with experience

ColorWheels is Fleisher’s mobile art studio, launched in 2012 and delivering creative experiences directly to community members in neighborhoods throughout Philadelphia.

The van is equipped with the tools and supplies needed for Fleisher’s teaching artists to guide community members in hands-on, culturally inspired mini-workshops, collaborative public art projects, and demonstrations of art techniques.
